Lone Star Urantia Association Governing Board Roles and Responsibilities
The Lone Star Urantia Association (LSUA) Governing Board shall consist of a President, Vice President, Treasurer, Secretary, Communications Officer, Web Master and Membership Chair. The officers and committee chairs shall follow all guidance provided for in the Bylaws of the Urantia Association International (UAI). This document is an abridgment of that guidance for the Lone Star Urantia Association.
The President is the Chief Executive Officer of LSUA. The President shall:
a. Have charge of the business and affairs of LSUA.
b. Oversee the execution, resolutions and directives by the members of LSUA.
c. Serve as the spokesperson for LSUA.
d. Preside at meetings of LSUA.
e. Serve as liaison between LSUA and Urantia Association of the United States (UAUS).
f. May execute any contracts
g. Will perform all duties incident to the office of President
The Vice-President shall assist the President in the discharge of his duties as the President may direct, and shall perform such other duties as from time to time may be assigned to him by the President. If the President is absent from a meeting, incapacitated, or should the President so request, the Vice-President shall perform the duties of the President and, when so acting, shall have all the powers of and be subject to all the restrictions upon the President.
The Treasurer shall be the principal accounting and financial officer of LSUA and shall:
a. Have charge of, and be responsible for the maintenance of adequate books of account for LSUA and for preparation of quarterly financial reports to the LSUA governing board.
b. Have charge and custody of all funds of LSUA and be responsible therefor, and for the receipt and disbursement thereof.
c. Prepare a budget proposal for each year for the LSUA governing board to act upon.
d. Communicate with the treasurer of UAUS regarding annual contribution reports and confirm receipt of the annual report from each association.
e. Serve as chairperson of any finance or fundraising committees and budgetary committee that may be formed.
f. Through any finance committee or a separate fundraising sub-committee, be responsible for the solicitation of contributions; prepare and send solicitation letters; prepare and send acknowledgement letters when donations are received; initiate and organize events to facilitate fund raising; maintain good relations and communications with donors.
g. Coordinate with accountants and auditors and oversee the filing of all necessary tax documents.
h. Perform all duties incident to the office of the Treasurer and such other duties as from time to time may be assigned to him by the President.
The Secretary shall:
a. Assist the President with preparation and distribution of agendas for meetings of the LSUA governing board.
b. Conduct a roll call at the commencement of each meeting of the LSUA Governing Board.
c. Record and maintain minutes of the LSUA Governing Board meetings
d. Maintain a register of the contact information (postal address, telephone number, facsimile number, and email address) of each LSUA Governing Board member that shall be furnished to the Secretary by each member.
e. Maintain and have general charge of all LSUA records.
f. Record any approved changes to the governing documents of LSUA.
g. Perform all duties incident to the office of Secretary and such other duties as from time to time may be assigned to him by the President.
This officer shall be a member of the Executive Committee. The Communications Officer shall:
a. Compile information from LSUA study groups regarding their experiences in sharing and studying The Urantia Book
b. In cooperation with UAUS and UAI, collect stories and information to post on the LSUA web site under News and Events.
c. Develop brochures and other information resources to communicate with the non-Urantia Book reading public within the environs of LSUA.
d. Inform all LSUA Urantia Book students when new information, such as the LSUA Newsletter, is posted on the LSUA website.
This officer shall be a member of the Executive Committee. The Membership Chair is the first contact with all new members in the LSUA environs. The Membership Chair shall:
a. Resolve membership issues.
b. Screen all applications for admission
c. Maintain the membership register of LSUA. The membership register
d. shall include, at a minimum, the following information for each member:
LSUA membership or transfer date, member status (full member, associate member, or registered reader), full legal name, permanent residence address, mailing address, primary telephone number, cell telephone number, facsimile number (optional), and email address; provide updated information to UAUS when requested. Note: When a member transfers his membership to a new association, the Membership Chair shall notify the member’s former association of the change.
